Personal Assistant to the HR Director

Our client, an investment government firm, is currently looking for a Personal Assistant to be based in their Abu Dhabi office. Reporting directly to the General Manager, your primary role is to coordinate a variety of general office activities by performing the following duties personally and through subordinate colleagues and perform all activities with utmost confidentiality. The other responsibilities will include but not limited to:

Provides assistance to the Executive Director, including board activities, performance and budgetary performance, and relationships with internal and external affiliates.
Analyzes and organizes office operations and procedures such as bookkeeping, preparation of staff performance reviews, leaves, attendance, etc, information management, filing systems, requisition of supplies, and other administrative services including:
Complex diary/travel arrangements,
Extensive forward planning and time management,
Preparation of internal and external correspondence,
E-mail management,
Preparation of presentations and budgets,
Telephone and visitor screening,
Meeting scheduling and logistics,
Maintain good relationships with other Senior Executives, Operations and Support Staff.
Handling highly confidential files and records, including correspondence, budgets, and complex financial reports and staff documentation.
Maximizes office administration efficiency and productivity through proficient workflows.
Researches and develops resources that create timely and efficient workflow.
Establishes uniform correspondence procedures and style practices.
Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
Prepares departmental budget and budget reviews for presentation.
Reviews administrative, clerical and staff records to ensure completeness, accuracy, and timeliness.
Prepares and/or consolidates departmental activities reports for management.
Coordinates and supervises activities of various administrative, clerical, and support staff within the department.
Maintains contact with persons in similar roles with internal and external affiliates.

To be successful in this position, you should be a graduate of Associate degree or equivalent with a minimum of 5 years related experience is required, preferably within the Investment, Treasury, Finance or Banking environment and strong background in HR is hihgly required. Proficiency in English and Arabic languages is highly needed and knowledgeable on any computer applications such as Contact Management Systems, Human Resource Systems, Internet Software, Order Processing System and Microsoft Office applications would be preferred. You should also have good analytical, mathematical and reasoning ability skills. If you think you have met the criteria for this role, please apply!
