OFFICE ADMINISTRATORS – For UAE National

For one of our largest clients, Huntress International, global leader in the recruitment market is urgently looking for UAE NATIONAL – OFFICE ADMINISTRATORS to be based in U.A.E

Primary Purpose:
• To provide secretarial and administrative support the assigned Supervisor/Manager. To ensure efficient and professional office administration services to the assigned department/section/team.

• Functional: (Responsibility for a function, e.g. a department, section or team)

Duties and Responsibilities:
• Deals with all incoming and outgoing correspondance and communication including, calls, faxes, mail, e-mail, memorandums, reports, etc, as per specific instructions and company procedures in a timely, accutrate and professional manner.
• Prepares and processes all outgoing correspondence and communication as per instructions and after review and signature by the assigned Supervisor/Manager.
• Maintains an up to date, effective and comprehensive filing system for all correspondence and documentation.
• Schedules and organises meetings and appointments
• Prepares and types documentation, reports, notes and minutes as per specific instructions.
• Develops, maintains and improves various office management tools and systems, such as telephone directory, correspondence logbook, etc., to ensure smooth and effective administration of the office.
• Ensures good housekeeping of the assigned area.
• Ensures confidentiality of all assigned work.
• Takes Health, Safety & Environment (HSE) lead in ensuring “safe systems of work” and “safe conditions” are in place within area of responsibility.
• Demonstrates visible commitment to HSE by periodically leading / taking part in risk assessments, audits, HSE meetings, emergency drills, etc.
• Ensures assigned staff complies with all company HSE policies & procedures and related initiatives.
• Performs other similar or related duties as required or assigned by senior management.

Qualification and Experience (Minimum requirements):

Educational Requirements / Qualifications: (Formal education and professional qualifications and associations.)
• Secondary school education (11-12 yrs) or equivalent combination of relevant experience and training
• Secretarial or Administrative diploma would be an advantage

Experience: (Years required for an acceptable level of performance.)
• Minimum of 5 years of secretarial/administrative experience in a large organisation.
